At Bateman MacKay LLP client care is always our top priority. When providing tax, assurance, and business advice to our clients, we handle documents with private and personal financial information. To keep this information secure, our trusted Cybersecurity partner keeps us up to date with any current and future potential cybersecurity threats. To stay ahead of these various threats and to protect your personal data from potential identity theft, we have initiated three significant changes to the way we send and receive documents.

  1. We will no longer accept email attachments of any kind.
  2. Documents sent to the Firm must use our secure file drop.
  3. Documents sent from the Firm will be done so via ShareFile Encryption OR Microsoft Outlook Secure Mail Encryption.

We understand that this is a stringent policy and we thank you for understanding and working with us to protect your personal data from potential identity theft.   • We will no longer accept email attachments of any kind.
    • Any email containing attachments sent to a Bateman MacKay email address will be blocked from reaching the intended recipient.
    • The sender will receive a notification that the email was blocked and provided with alternate steps to send the attachment.
    • The intended recipient will receive a notification of a declined email that includes the sender’s email and subject line.

 

  • Documents sent to the Firm must use our secure file drop.
  • Using a system called Citrix ShareFile, we have a secure and user friendly file send system.
  • To send us a file, via our website click on the “share files” button.
    • This will open Bateman MacKay’s ShareFile page. You will be asked to identify yourself and then click “Continue.”
    • On the next page, click “Choose Recipient” in the top left corner, select Bateman MacKay LLP, drag and drop your files and click upload.
    • Your files have been sent once a green “Uploaded” tag appears next to them.
    • The Bateman MacKay LLP admin team will be notified, and they will direct the files to the appropriate person.
  • To send a file to an individual via their email signature link.
    • Click on the “Click here to send me files securely” link under the Firm logo.
    • Once the ShareFile system opens on your web browser, input your name and email and click “Continue.”
    • On the next page, click “Choose Recipient” in the top left corner, select your intended recipient’s name, drag and drop your files and click upload.
    • Your files have been sent once a green “Uploaded” tag appears next to them.
    • The recipient will be notified of your newly uploaded files.

  • Any documents sent from the firm will be done so via ShareFile Encryption OR Microsoft Outlook Secure Mail Ecryption.
  • When you receive ShareFile encrypted documents from the Firm it will look like the image below.

    • The first time you receive an encrypted email or document from the firm, you will be asked to create a password and then have access to your files.
    • Click on “Download Attachments”
    • This will open Bateman MacKay’s ShareFile page. You will be asked to identify yourself and then click “Continue.”
    • You will then see the files sent to you with the option to download them.
  • When you receive a SecureMail message from the Firm it will look like the image below.

  • You will be provided with instructions to access the email.
  • You may reply to the message and the email will remain in its encrypted state.

*We assume all information sent to your email goes to its intended recipient. If someone else has access to your email and you would like additional protection, please inform us*
